🌙 THE MOONLIT HERBARIUM — SHIPPING POLICY

Thank you for supporting The Moonlit Herbarium. Our letters, botanical prints, and handcrafted goods are carefully produced and packaged in small batches. This Shipping Policy explains how orders are processed, packaged, and delivered.

By placing an order, you agree to the terms below.


1. PROCESSING TIMES

Subscription Mail Club

Mail Club subscriptions ship once per month, following our monthly production and packing cycle.

Production begins after each billing date.
Shipping typically occurs during the final week of the month, though timing may vary due to:

  • Seasonal volume

  • Holiday or postal delays

  • Handmade or specialty item preparation

  • Weather conditions in rural BC

You will receive a shipping notification when your package is on its way.

One-Time Shop Orders

For non-subscription purchases:

  • Processing time is typically 3–7 business days

  • Handmade items may require additional time

  • During holidays or shop updates, processing times may be slightly longer

Processing time does not include transit time.


2. SHIPPING RATES

Shipping rates are calculated at checkout based on:

  • Order weight

  • Destination

  • Carrier rates

  • Whether the item qualifies as Lettermail or Parcels

We do not mark up shipping costs.


3. SHIPPING METHODS

We ship primarily through:

  • Canada Post Lettermail (no tracking)

  • Canada Post Regular Parcel

  • Tracked Packet (International)

  • Expedited Parcel

Shipping method varies based on the item type:

Letters, Field Notes, Ephemera & Stickers

Often ship via Lettermail (untracked), both within Canada and internationally.

Art Prints, Journals & Larger Items

Ship via tracked parcel.

If you want tracking on an order that would normally ship untracked, please contact us before purchasing so we can provide a custom shipping option.


4. CUSTOMS, DUTIES & IMPORT FEES

International customers (outside Canada) are responsible for any:

  • Customs duties

  • Import taxes

  • VAT

  • Handling fees imposed by their country

We cannot control or predict these fees.

Packages returned due to unpaid duties may be reshipped (shipping fees apply) or refunded as store credit (minus original shipping).


5. ADDRESS ACCURACY

Please ensure your shipping address is complete and accurate at checkout.

We are not responsible for:

  • Packages shipped to an incorrectly entered address

  • Delays caused by incomplete or invalid addresses

  • Additional fees or reshipping required due to address errors

If the package is returned to us:

  • We can reship it to you (shipping charges apply)

  • Or issue store credit minus original shipping costs


6. LOST OR STOLEN PACKAGES

Once an order has been handed to the carrier, ownership and risk transfer to the customer.

We are not responsible for:

  • Lost mail

  • Stolen packages

  • Delivery marked as “delivered” but not received

  • Delays caused by carriers or customs

If your package is lost or missing, we will help you:

  • File a claim with the carrier

  • Provide any required documentation

Please note:
Untracked Lettermail cannot be traced, and Canada Post does not allow claims on untracked mail.


7. DAMAGED PACKAGES

If your order arrives damaged, please contact us within 7 days of delivery with:

  • Photos of the damage

  • Photos of the packaging

  • Your order number

We will do our best to replace or resolve the issue, depending on item availability.


8. MULTIPLE ORDERS & COMBINED SHIPPING

If you place multiple orders close together, we may be able to combine them into one shipment. This is not guaranteed, as packages may be processed at different times.

If combining is possible, we may refund excess shipping charges.


9. HOLIDAY & HIGH-VOLUME PERIODS

During holidays or shop updates, processing and delivery times may be longer due to:

  • Increased order volume

  • Carrier delays

  • Weather-related transit disruptions

We appreciate your patience during these times.
